Terms & Conditions of Service
We aim to make your booking and tennis experience as easy and straightforward as possible. Please take a few minutes to read these Terms & Conditions of Service so you understand how Tennis One manages tennis coaching services and events at our clubs.
Tennis coaches who are not employed by Tennis One are not permitted to book tennis courts for their own commercial use.
These Terms & Conditions apply to all Tennis One customers. Customers must accept them before participating in any Tennis One lesson or activity, including Holiday Programmes, Private Lessons and Interclub Coaching.
By completing and signing the Tennis One Enrolment Form, customers agree to the following Terms & Conditions.
1. Group Lessons and Events
- Tennis One offers classes lasting 30 minutes, 45 minutes, 1 hour and 1.5 hours.
- Tennis One offers a $30 trial for a player’s first class. After the trial, junior players must enrol for the full term, while adults may purchase a Session Card.
- If the player enrols, the cost of the trial class will be deducted from the term fees. Term fees will be prorated when a player joins during the term.
- Payments made after the invoice due date may incur a late-payment fee of $25.
- Children’s classes and adult courses are payable in advance for the full term.
- Session Cards cannot be used to pay for Junior Group Lessons.
- Class bookings cancelled within one week of the beginning of the term are non-refundable unless an Application for Credit is submitted with a medical certificate.
- Refunds are not provided for withdrawals, non-attendance or changes of mind during the term for group lessons or events. This also applies in the case of a medical situation. However, a transferable credit may be issued when a completed Credit Form is accompanied by a medical certificate.
- Make-up classes may be available when a class is missed due to illness. Please contact your coach to ask about availability. A maximum of two make-up lessons per term is permitted, subject to space being available in another equivalent class.
- Players may be permitted to change classes at the discretion of Tennis One, provided that there is sufficient space in the requested class and any additional costs are paid.
- Tennis One provides a scheduled timetable of lessons. If a class does not have at least three registered players by its scheduled starting date, Tennis One reserves the right to:
- Postpone the beginning of the class to allow additional time for enrolments;
- Offer participants the option to remain at the scheduled time at a private or semi-private lesson rate; or
- Cancel the class and recommend a similar programme on an alternative day or at an alternative time.
2. Private and Group Lesson Packages
Credits
- Credits may be transferred to another person or applied to a different service offered by Tennis One.
- When credits are assigned to another service, their full remaining value will be applied.
- Private lessons may be cancelled at least 24 hours before the scheduled lesson. Providing sufficient notice allows another player to take the available space or allows Tennis One to confirm that the minimum number of players required for a group lesson will be attending.
- If a player cancels a lesson with less than 12 hours’ notice, the full lesson fee will be charged.
By purchasing a package, the participant agrees to these terms.
3. Holiday Programmes
- A Holiday Programme session cancelled or transferred to an alternative session at least one week before the session date is eligible for a full refund or credit.
- A Holiday Programme session cancelled or changed less than one week before the session date is not eligible for a refund or credit.
- Refunds are not provided for non-attendance unless an Application for Refund is supported by a medical certificate. Refunds or credits will only be issued for absences of two or more sessions.
4. Injury, Health and Medical Treatment
By participating in Tennis One activities, the participant or their parent or guardian agrees to the following:
- I voluntarily accept and assume the inherent risk of injury involved in playing tennis and participating in associated activities.
- If an accident or illness occurs while I am not present, I authorise Tennis One staff to secure medical attention when they consider it advisable. Any related expenses will be my responsibility, and I request that I be notified promptly.
- I confirm that my child is medically and physically fit and does not have an injury, illness, physical condition or mental condition that could affect their ability to participate safely in activities authorised or recognised by Tennis One.
- If I am uncertain about this declaration, or if my child has a relevant condition, I confirm that I have disclosed it on the Tennis One Enrolment Form or will bring it to the attention of Tennis One immediately.
- I indemnify Tennis One against claims, losses and expenses, including legal costs, arising directly or indirectly from my or my child’s failure to follow Tennis One’s rules, policies, guidelines or reasonable staff directions.
- I agree that Tennis One may occasionally use photographs, digital images or videos that include my child for promotional purposes. All media will be used tastefully and respectfully.
5. Changes to Player Court Bookings
Tennis One reserves the right to:
- Change prices without notice.
- Cancel a booking at short notice. A staff member will contact the affected player and, where appropriate, assign another time or provide a credit.
- Assign a different court from the court originally booked online or through another booking method.
6. Double Bookings
- Tennis One does not accept responsibility for booking conflicts. If a court is double-booked, we will make every reasonable effort to find a solution based on the circumstances.
- Prepaid and confirmed bookings take priority over booking claims that do not appear in our tennis management system.
- Customers are responsible for providing evidence to support any booking claim.
- If Tennis One is responsible for an error, we will make every reasonable effort to correct the situation.
7. Poor Weather Cancellations
- When a class is cancelled because of poor or unplayable weather, a WhatsApp message or text message will be sent to the registered phone number approximately 30 minutes before the scheduled starting time. If you do not receive a message, you may assume the class will go ahead.
- All decisions regarding weather-related lesson cancellations are made at the sole discretion of the coach responsible for the lesson.
- If poor weather causes a lesson to be cancelled, make-up lessons may be offered during the final three Saturday mornings of the current term.
- If several lessons are cancelled because of poor weather, bulk group lessons equivalent to the total number of cancelled lessons may be offered.
- All replacement lessons must take place during the current coaching term.
- Credits for weather-related cancellations will not be transferred to the following coaching term.
- If a player does not attend an offered make-up lesson, no refund will be provided and the lesson will not be carried forward to the following term.
- If poor weather causes a lesson to be cancelled after it has already started, the full lesson fee will apply.
8. COVID-Related Cancellations
If a COVID lockdown prevents in-person lessons from taking place, Tennis One will provide age-appropriate online fitness sessions specifically designed for tennis players.
9. Social Tennis Events and Tournaments
- Payment for an event is required in advance. Payment for an individual session may be made once registration for the event opens.
- A participant must cancel their place at least 12 hours before the event’s scheduled starting time. Otherwise, the full event fee will be charged.
- Tennis One reserves the right to reduce the size of an event or cancel it if there are insufficient registrations.
- If Tennis One cancels a session, participants will receive a refund of their entry fee.
10. Player Code of Conduct
Players must follow staff directions at all times.
Aggressive, abusive or inappropriate behaviour towards staff members or other players will not be tolerated.
11. No-Smoking Policy
To protect public health and ensure everyone’s comfort, smoking is not permitted:
- On the tennis courts;
- In changing rooms;
- In administrative areas; or
- Inside the clubhouse at any of our venues.
12. Player Etiquette
- Please take all rubbish with you and leave the tennis courts, changing rooms and bathrooms clean and tidy for the next person.
- Players using the facilities early in the morning or late in the evening must be considerate of nearby residents. Please keep loud conversations and on-court outbursts to a minimum.
- Please respect the environment by taking old ball cans and empty drink bottles home for recycling whenever possible.
13. Commercial Bookings and Coaching
- Friends teaching friends or family members on courts managed by Tennis One is not permitted without prior approval from the Tennis One coaching team.
- Companies wishing to make a private booking or organise an event that requires coaching staff must apply to Tennis One in writing. This includes services such as:
- Event or tournament planning and management;
- Team-building activities; and
- Company on-court training.
- The written request must include full details of the proposed event. Tennis One will discuss the request with the Tennis Club committee before providing a response.
- Coaching on tennis courts managed by Tennis One without prior approval is considered trespassing.
Acceptance of These Terms
By enrolling in, booking or participating in a Tennis One lesson, programme, event or service, customers confirm that they have read, understood and accepted these Terms & Conditions of Service.
