About the Role

Tennis Northland is looking for an organised, Administrator and Competitions Coordinator to join our small, busy team at Thomas Neale Tennis Centre in Whangarēi. This is a contractor role of 20 hours per week — ideal for someone who loves variety, thrives on getting things done, and wants to play a meaningful part in growing tennis across Northland.

You’ll work closely with the General Manager across administration, competitions, financial processing, club support, and facility coordination — no two days are quite the same.

Key Responsibilities and Duties

Administration & Office Support

  • Manage correspondence, records, and the Book-a-Court booking system
  • Keep the Tennis Northland website and social media platforms (Facebook & Instagram) up to date
  • Produce a regular club newsletter and coordinate annual affiliation returns
  • Support Board meetings — preparation, minutes, and distribution (including AGM)
  • Assist the General Manager as requested across all areas of the organisation

Competitions & Events

  • Assist the GM to plan, organise, and deliver Tennis Northland tournaments and competitions, including the Janet Agnew Carnival, Junior Closed Championships, school championships, and interclub competitions
  • Prepare and distribute the annual events calendar
  • Monitor entries, communicate with participants, and ensure results are entered in Tennis NZ systems

Financial Administration

  • Generate and process invoices; process creditor and PAYE payments by the 20th of each month
  • File all bills on Xero and complete GST returns as required
  • Assist with end-of-year financial reporting

Club Support & Facility Coordination

  • Keep clubs informed about events, tournaments, and programmes
  • Liaise with contractors for ongoing maintenance of Thomas Neale facility (alarms, grounds, bar, building systems, cleaning)
  • Coordinate council inspections and report facility issues to the GM

What We’re Looking For

Essential

  • Strong organisational skills with the ability to juggle multiple tasks and deadlines
  • Excellent written and verbal communication skills
  • Experience in administration, event coordination, or a similar role
  • Competence in financial administration — invoicing, reconciliation, and filing
  • Proficiency in Xero (or willingness to learn quickly)
  • Confident using Microsoft Office, email, and social media
  • Ability to work independently and use initiative
  • A collaborative, people-first approach

Desirable

  • Experience in sport, recreation, or community organisations
  • Understanding of GST and PAYE requirements

Working Arrangements

This is a contractor engagement — the successful applicant will be responsible for their own tax obligations, including GST registration if applicable.

Flexible hours are available by arrangement with the General Manager. Please note that some weekend work and after-hours availability will be required to support competitions, tournaments, and events.
