Coaching Policy and Protocol
COACHING POLICY & PROTOCOLS from 2026
Coaching structure and bookings
- Group coaching during Spring and Summer Terms is based on delivery of nine weeks of coaching, with a tenth week set aside at the end for catch ups. During Autumn and Winter we run eight weeks to allow two weeks for catch-ups.
- Private coaching is also based on committing to a nine week term, to encourage technical development of skills. Ad hoc sessions may be arranged during the term if court and coach availability permits.
- Hitting sessions can be used either as a term commitment, weekly or fortnightly, or as a small block of sessions. These are subject to court availability, with the possibility of arranging hitting at another venue such as the Renouf Centre.
- General Hotshots, Club, Teenagers, and Adult group sessions can be booked online through CTF’s website. Payment will be requested to complete the online registration.
- Squad training and private sessions will need to be requested by contacting CTF by email, text, phone, or in person. Best endeavours will be made to find suitable times, with preferred coach. Scheduled group sessions will take priority, but courts, times and coaches may be released for private sessions if group registrations are low. Payments for squads and privates will be requested within the first two or three weeks of the term, to allow for adjustments.
- The right to carry over a time slot into the next term cannot be guaranteed. Scheduling from term to term may vary to cater for seasonal demand, or to focus on specific areas that require more development. Any request to retain a training time slot, should be submitted to CTF by the end of each term, we will do our best to cater for continued time slots. If no communication has been received by the end of the term, time slots may be given to new requests.
- The coach running a particular group session won’t be confirmed until the first week of term. This allows scheduling to be completed, with specific requests for coaches to providing private sessions. A senior coach (or suitably trained coach) will be in charge of group sessions, if numbers require the use of two courts, an assistant coach may be allocated to help the senior coach.
- If a coach is unavailable to deliver a group session, another coach may be brought in to run the session for that week. This possibly could be an assistant coach, who will be directed by the Professional Head Coach.
Cancellations and catch up sessions
- Sessions may on occasions be cancelled due to wet weather, however presume a lesson will be on unless otherwise advised. There are inside coaching options that may be utilised, mainly for the youngsters.
- Surface water can be removed from courts to enable play, when courts are damp such as light drizzle, coaches may continue with static outside training like serving and volleys.
- Inside training options include; technical stroke development, foam ball hitting, racquet skills, hand eye co-ordination, timing and directional control (table tennis), strategies and scoring.
- It is often not possible to respond to messages asking if sessions are cancelled or not. Coaches may actually be coaching on court or driving to the courts. We also maybe sweeping water off the courts to prepare courts for the upcoming session.
- Any interruption to the delivery of sessions can be resolved through catch up options. The last week of each term will be set aside for group or private catch up sessions. If individuals miss group sessions through unavoidable reasons, please ask if you would like to join another group for a catch up opportunity. This could be done anytime during the term.
- Catch up options may include extra sessions run over catch up week, a session with another coach, or a private session.
- If there is any reason a player cannot make a session please communicate this prior to the session, especially if you would like to request a make up opportunity.
General Policy and Protocol
- Tennis étiquette is to be observed at all times regardless of the level, coaches will remind players of etiquette and safety when appropriate.
- Coaches will expect a good standard of behaviour from players, unacceptable behaviour will be addressed with a warning. If it continues players may be asked to sit out of the session, if this does not resolve the behaviour, the Coach may ring or email the players parent or guardian.
- Any health issues that may have an affect on players participating during tennis lessons should be noted on their Clubspark profile. Please advise your coach if any short term issues arise that may affect your training.
- Players receiving coaching are encouraged to be paid up members of the Tennis Club venue (eg Karori United). By agreeing to sign up as a member you will be entitled to a cheaper rate for your coaching, and will be able to purchase a key from the club for access to courts when available.
- Coaches are required to conduct multiple sessions and are therefore unable to supervise children outside of their allotted training session. Players are allowed to wait for a session or their pickup, courtside or in the clubhouse. If there are any concerns about supervision, please communicate this with your Coach.
- Making suitable arrangements for players travelling to and from the courts is the responsibility of each family.
